1. General provisions

1.1. These Terms and Conditions set out the rules for using the plexisystem.pl website and for placing orders for the products and services offered by the Seller.

1.2. The website is owned and operated by PPHU Plexi System s.c., a civil-law partnership with its registered office at ul. Ks. dr Leona Heyke 11, 84-206 Nowy Dwór Wejherowski, Poland, VAT ID (NIP): 5882396272.

  • Seller – PPHU Plexi System s.c.
  • Customer – a natural person, a legal person or an unincorporated organisation with legal capacity that places an order
  • Consumer – a natural person who makes a purchase for purposes not directly related to their trade, business or profession
  • Product – an item made of acrylic (PMMA) or another plastic, offered by the Seller
  • Service – the cutting, milling, bending or other processing of materials carried out by the Seller
  • Order – the Customer's offer to enter into a contract with the Seller
  • Made-to-measure product – a product manufactured to the Customer's individual specification

3. Placing orders

3.1. Orders may be placed:

  • Using the quotation form on the website
  • By email to [email protected]
  • By telephone on +48 884 042 109
  • In person at the Seller's premises

3.2. An order should include:

  • The Customer's contact details
  • A precise product specification (dimensions, material, thickness, quantity)
  • Technical drawings or design files, if applicable
  • The delivery address, or a note that the goods will be collected in person

3.3. The Seller prepares a quotation within one to two working days of receiving an enquiry. The quotation is valid for 14 days from the date of issue.

3.4. The contract is concluded when the Customer confirms the order (accepts the quotation) and makes the advance payment or pays the full amount.

4. Prices and payment

4.1. All prices are quoted in Polish złoty (PLN) and are exclusive of VAT. VAT at the rate of 23% is added to the price quoted.

4.2. The following payment methods are available:

  • Bank transfer to the Seller's account
  • Cash on collection in person
  • Cash on delivery (up to PLN 2,000)

4.4. For orders above PLN 1,000 excluding VAT, an advance payment of 50% of the order value is required. The balance is payable before dispatch or on collection.

4.5. Separate payment terms may be agreed with regular business customers (bank transfer with deferred payment).

5. Order fulfilment

5.1. Lead times are indicative:

  • Simple cutting: 1–3 working days
  • Standard products: 3–7 working days
  • Complex products: 7–14 working days
  • Large production runs: lead time agreed on a case-by-case basis

5.2. The lead time runs from the point at which all of the following have occurred:

  • The advance payment or the full amount has been credited to the Seller's account
  • The Customer has approved the final version of the design
  • All the necessary materials and information have been provided

5.3. If delivery is delayed for reasons beyond the Seller's control (material shortages, machine breakdown), the Seller will inform the Customer of the revised lead time without undue delay.

6. Delivery

6.1. The following delivery methods are available:

  • Collection in person – free of charge, by prior arrangement
  • DPD or DHL courier – charged according to the carrier's tariff
  • Delivery by the Seller's own vehicle – for large orders, priced on a case-by-case basis

6.2. Delivery costs are stated in the quotation. Indicative prices:

  • Parcel up to 30 kg: from PLN 25 excluding VAT
  • Pallet up to 100 kg: from PLN 150 excluding VAT
  • Delivery by the Seller's own vehicle: from PLN 3 per km

6.3. Products are packed so as to protect them against damage in transit (protective film, cardboard boxes, pallets).

6.4. On receipt of the consignment, the Customer should inspect the condition of the packaging. If any damage is visible, a damage report should be drawn up with the courier at the time of delivery.

7. Made-to-measure products

Important: Products manufactured to the Customer's individual order (made to measure or to a design) are not subject to the right of withdrawal, under Article 38(3) of the Polish Consumer Rights Act (ustawa o prawach konsumenta).

7.1. The following are treated as made-to-measure products:

  • Sheets cut to the dimensions specified by the Customer
  • Components milled to the Customer's design
  • Display cases, display stands and other products manufactured to order
  • Products with printing or engraving

7.2. Before production begins, the Customer receives the following for approval:

  • A visualisation of the product, where applicable
  • The technical specification
  • The lead time

7.3. Once the specification has been approved and the advance payment has been made, the order may not be cancelled. If the Customer withdraws from the order, the advance payment is non-refundable.

8. Complaints

8.1. The Seller is liable for defects in products on the terms set out in the Polish Civil Code (Kodeks cywilny) under the statutory warranty for defects (rękojmia).

8.2. Complaints should be submitted:

  • By email to [email protected]
  • In writing to the address of the Seller's registered office

8.3. A complaint should include:

  • The order or invoice number
  • A description of the defect
  • Photographs documenting the defect
  • The remedy sought by the Customer (replacement, repair or refund)

8.4. The Seller responds to a complaint within 14 days of receiving a complete notification.

8.5. The Seller does not accept complaints in respect of:

  • Damage occurring after receipt of the goods
  • The natural properties of the material (for example, yellowing of acrylic caused by exposure to UV light)
  • Differences in colour caused by monitor settings
  • Products used other than for their intended purpose

9. Right of withdrawal

9.1. A Consumer has the right to withdraw from the contract within 14 days without giving a reason, subject to clause 9.2.

9.2. The right of withdrawal does not apply to:

  • Products manufactured to the Customer's individual order (made to measure)
  • Products which, after delivery, have been combined with other items

9.3. In the case of standard products (for example, ready-made sheets from stock), the Consumer may withdraw from the contract by sending a statement of withdrawal to [email protected].

9.4. Goods should be returned undamaged and in their original packaging. The Consumer bears the cost of return.

10. Guarantee

10.1. The Seller provides a guarantee for selected products:

  • LED light boxes: five years on the structure, three years on the lighting
  • Display cases: two years
  • Display stands: one year
  • Sheets and cutting: no guarantee; the statutory warranty for defects applies

10.2. The guarantee does not cover damage resulting from improper use, modification or external factors.

11. Intellectual property

11.1. All designs, technical drawings and visualisations prepared by the Seller remain the property of the Seller until the order has been paid for in full.

11.2. The Customer is granted the right to use the design solely for purposes connected with the performance of the order.

11.3. The Seller reserves the right to use photographs of completed products in its marketing materials, unless the Customer objects.

12. Final provisions

12.1. In matters not governed by these Terms and Conditions, the Polish Civil Code (Kodeks cywilny) and the Polish Consumer Rights Act (ustawa o prawach konsumenta) apply.

12.2. Any disputes are settled by the court with jurisdiction over the Seller's registered office (for business customers) or by the court determined in accordance with the generally applicable rules of jurisdiction (for Consumers).

12.3. The Seller reserves the right to amend these Terms and Conditions. Amendments take effect on publication on the website.

12.4. These Terms and Conditions take effect on 1 January 2026.
